From Enquiry To Counter-Ready Post

How A Hiway Mail Address Becomes Active.

The process is deliberately plain: written enquiry, ID check, address issued, mail logged, then scan, hold, forward or collect. The address is not released until the right people have been checked.

Process Rail

Numbered Steps With The Green Route Line

01

Send The Enquiry

Email hello@hiwaymail.com with the type of address you need, the company name if already formed, the forwarding country and any parcel expectations.

02

Complete ID Checks

Individuals provide ID and proof of address. Limited companies need checks for the relevant officers. Overseas customers can be checked, but the documents must be clear and current.

03

Address Goes Live

New address accounts usually go live within one working day once ID and proof of address are approved. Hiway Mail confirms the exact wording to use.

04

Mail Is Logged

Mail received before 2:30pm is logged the same working day. Anything later is logged by 11:00am the next working day.

05

Choose The Action

Each item can be held, scanned, forwarded or prepared for collection by appointment. Forwarding is taken from the postage float.

ID Checks

Who Must Be Checked

Every customer must pass ID checks before the address is issued. For a personal address, that means the named individual. For a trading address, it means the person using the trading name. For a limited company registered office, Hiway Mail checks the relevant company officers before statutory post is accepted.

Overseas founders with UK companies are welcome when documents are readable, current and consistent. If a name does not match the company record or forwarding instruction, the account is paused until it is clarified in writing.

Mail Logging

Cut-Off Times Matter

Mail received before 2:30pm is logged the same working day. Post that arrives later is logged by 11:00am the next working day. This keeps customers from chasing letters that are still in the afternoon pile and keeps forwarding bundles accurate.

Forwarding runs Tuesday and Thursday as standard. Daily forwarding is available for £14 per month.

Choices For Each Item

Hold, Scan, Forward Or Collect

Hold

Mail can be held for collection for up to 30 days as standard. Longer storage must be agreed in writing before it becomes a problem.

Scan

Scan and email is £1.20 per envelope opened, plus 18p per scanned page after the first 10 pages in a calendar month.

Forward

Bundles are sent by Royal Mail or courier at the published rate plus a £2.75 handling charge per bundle.

Collect

Collections are by appointment from Milton Keynes with a 15-minute window so post is ready on the counter.

Collection Notes

No Unscheduled Walk-Ins

  • Monday to Friday collections must be booked before visiting.
  • Saturday collection is 10:00am-12:30pm for pre-booked collections only.
  • Collections use a 15-minute window so the right post is ready.
  • Hiway Mail does not accept walk-in signups without an appointment.
  • Closed Sundays and bank holidays.

Counter Detail

The Green Salter Scale

There is a battered green Salter scale by the pigeonholes that still agrees with the Wolverton Post Office counter within 5g. It is used because small differences matter when a forwarded bundle is charged from a customer float, and because guessing postage is how tidy mailrooms become messy ones.

Parcels And Limits

Small Parcels Only By Agreement

Small parcel handling is £3.50 per parcel up to 5kg. Larger parcels must be agreed before they arrive. Hiway Mail does not provide ecommerce fulfilment, pick-and-pack, pallet storage or daily parcel dispatch for stock.

Do not send perishable goods, cash, jewellery, controlled substances, firearms, medicines, anything needing refrigeration or anything requiring an age check. If a parcel needs other special handling or storage beyond the usual arrangement, ask first.

Wrong Use

If It Is Meant To Look Like Premises, Stop Here

If the address is meant to make a business look like it has premises, staff, stock, a clinic, a workshop, a shop or a warehouse on site, Hiway Mail is not the right service.
